Cancellation Policy
Your privacy is important to us, and so is being transparent about how we collect, use, and share information about you, whether you are a SOMSA member, event attendee, sponsor, or guest.
SOMSA Membership Cancellation Policy
Membership in the Society of OMS Administrators (SOMSA) is non-refundable. By joining and submitting payment, members agree to the full term of their membership.
Refunds
SOMSA does not issue refunds for membership dues under any circumstances, except in the rare case where an individual who is not eligible for membership (e.g., an oral surgeon or other non-administrator) mistakenly completes the application and is approved in error. In such cases, SOMSA will cancel the membership and issue a full refund.
Transfers
If a paid member leaves their position or is otherwise unable to use their membership, we are happy to transfer the membership to another eligible administrator within the same practice. Please initiate a transfer by completing the
membership transfer request form.
Term
All memberships remain active through the end of their purchased term, even if the member is no longer with their practice or unable to participate.
- Eligibility Reminder: Membership is reserved exclusively for administrators and support staff in oral and maxillofacial surgery practices. Oral surgeons and other clinical providers are not eligible for SOMSA membership. See Who Can Join here.
conference registration Cancellation Policy
All cancellation/refund requests must be received in writing (either mail, email, or fax) to SOMSA office. No refunds will be granted less than 14 days before the conference, and no refunds will be granted because of flight delays, weather, or any other unforeseen circumstances.
The graduated refund policy for cancellations is as follows.
- 30+ days before the start of the conference: Registrants will receive a refund 100% of registration fees, in the same method as registrant’s payment (more than 90 days after payment: a check will be issued).
- 15-29 days before the start of the conference: Registrants will receive a refund 50% of the registration fees, in the same method as registrant’s payment (more than 90 days after payment: a check will be issued). Members may opt to receive their refund as a coupon code, valid on their SOMSA account, to be applied to future conference registration fees.
- 14 or fewer days before the start of the conference: No refund.
sponsorship Cancellation Policy
Should you need to cancel your sponsorship, you must do so in writing (by email or fax) within 14 days of paying for your sponsorships or submitting your Sponsor Contract (whichever is earlier) for full refund less 7% administrative fee. Cancellations received 15 days or more after sponsorship purchase or receipt of Sponsor Contract will be refunded 50%.
If you select a promotional item sponsorship, full or partial cancellation as described above is only provided up until we have placed the order for the promotional item with your logo or company name on it, regardless of days elapsed since payment/contract was received.
No refunds will be given within 6 weeks of the conference start date, regardless of when payment/contract was received.
